Multi-SOP Sequencing · Operator Approval Queue
Every lead, every customer, the right sequence at the right time.
Most owner-ops keep follow-ups on a notepad and lose half of them. The lead who didn't reply Tuesday — call Friday or wait until Monday? The estimate you sent last week — did the customer open it? The job booked next month — did anyone confirm with them yet? Follow-Up Automation runs three SOPs at the same time: a lead sequence, a pre-job confirmation sequence, and a post-quote sequence. Each step fires at the right moment on the right channel — email, SMS, or a call notification to your phone. You approve the big touches; the routine ones fire on their own. Built for trades at $99/month flat. No per-zap pricing. No per-seat scaling.
100%
Of scheduled follow-ups fire on time
The engine runs every hour. Every scheduled touch — every email, every SMS, every call notification — fires on time. Doesn't matter if you're on a job site, asleep, or in a meeting. Operator mode means you approve before it sends. Auto mode means it sends without you. Either way, the cron doesn't forget.
Follow-up is where owner-op revenue goes to die. The lead who texted Tuesday — did you call back? The estimate you sent last week — did the customer even open it? Most owner-ops know they need a follow-up system. Few run one. The painter's notepad goes stale. Calendar reminders get dismissed. Leads stop coming back.
Follow-Up Automation runs three SOPs covering the customer journey from first inquiry through job done. The Lead SOP fires when a new lead lands in your Hub. The Booked SOP fires when an estimate gets accepted. The Estimate SOP fires when a quote gets sent. Each step has a channel — email, SMS, or call notification — and an AI-drafted message in your voice. You see what's about to fire in your Approval Queue. Big touches wait for your tap. Routine ones fire on their own. The cron runs every hour. The engine doesn't forget.
Zapier wants you to build every flow yourself, debug every integration, and re-fix every breakage when an API changes. HubSpot Workflows runs $890/month minimum plus a $3,000 setup fee — and assumes you have a sales team to feed it. The pattern is the same across the rest: each tool either makes you build the system or builds it for an enterprise sales org, not an owner-op. None of them know what a "24-hour check-in after estimate sent" should say to a homeowner who just got a $3,650 quote. Follow-Up Automation ships with the SOPs already built — tuned for owner-op rhythms, scripted in trade voice. Operator-vs-Auto mode gives you the choice every owner-op actually wants: approve the touches that matter, let the engine handle the rest. $99/month covers everything.
Follow-Up Automation works on its own — you can run the three SOPs against any lead or customer record you create by hand. It gets a lot stronger when paired. Add Lead & Customer Hub ($99/mo) and every new lead enters the Lead SOP on its own. Every closed job enters the Estimate SOP on its own. No manual queue-up. Add Email Command Center ($99/mo) and follow-up emails send from the right account with the right signature, and customer replies thread back into the conversation. Add Estimating Engine ($149/mo) and sending a quote triggers the Estimate SOP. Add Repeat Customer Engine ($129/mo) for the fourth SOP — the post-job retention sequence — running through the same engine. Most operators run this paired with at least the Hub.

Mockup defaults to painting (LBV Painting as the reference implementation). Lead SOP and Booked SOP run the same kanban structure with stages and timing tuned per SOP — switch via the tabs above. Demo data is fictional. The action buttons on each card are the actual mechanism — schedule, mark complete, edit, snooze, skip — all inline.
Inside the module
Five steps that fire the moment a new lead enters your Hub. 24-hour check-in email. 48-hour SMS follow-up. 4-day call notification. 7-day final email. 14-day "still interested?" text. Built for owner-op rhythms, not sales-team cadences. Each step is tuned to match how you actually write to leads.
Configured per trade during deployment. Edit any step anytime.
Three steps that fire when an estimate gets accepted. Confirmation email right away. Day-before SMS reminder. Morning-of SMS. Kills the "did anyone confirm with them?" question. Customers who get pre-job touches show up ready. Customers who don't show up confused.
Optional: add a follow-up SMS the day after for a satisfaction check.

Four steps that fire when a quote gets sent. 24-hour open-or-not check (different message if they opened the PDF vs didn't). 3-day reminder. 7-day final. Plus a win/loss capture when the estimate closes either way. The win/loss capture is an internal task for you — it tracks the real reason customers picked you or didn't, so you can fix your pricing or pitch.

Every step in every SOP can be set to require approval or fire on its own. Operator mode means the engine queues the touch, drafts the message, and waits for your one-tap approval. Auto mode means the engine fires without you. Most operators run a mix: Lead SOP step 1 needs approval (first impression matters); the Booked SOP day-before reminder fires on its own (routine confirmation). You set it during deployment. You change it whenever.
Per-step granularity. Default config provided during deployment based on your comfort level.

The flow
A new lead lands in your Hub. An estimate gets sent. A booking gets confirmed. The trigger event queues the right SOP for that record.
Each step is scheduled from the trigger — 24 hours, 48 hours, 3 days, 7 days. The schedule sticks to business hours by default (no 2 AM sends). Skips weekends for non-urgent touches.
The engine wakes up every hour, finds touches due, drafts the message in your voice, and queues it. Operator-mode steps wait for your approval. Auto-mode steps fire right away. Failed sends retry. Stuck failures alert you.
When a customer replies, the engine pauses their sequence — no more "follow up on the lead" emails to someone who already booked. Replies route through Email Command Center (when paired) and update the customer's Hub record. Win/loss outcomes go to the dashboard.

Aerys Follow-Up Automation
Follow-Up Automation replaces Zapier, HubSpot Workflows, manual reminders, and the notepad of follow-ups owner-ops keep today. Add Lead & Customer Hub ($99/mo) and trigger firing happens on its own. Add Repeat Customer Engine ($129/mo) for the fourth SOP — the post-job retention sequence — running through the same engine.
By trade
For painting, the Lead SOP runs the standard 5 steps tuned to painting timing. Most painting leads decide within 7 days or never. So the 14-day "still interested?" final touch is the last shot. The Estimate SOP's 3-day check is the highest-value touch — painting customers often share the quote with a spouse or designer at that point. Booked SOP's day-before SMS matters: the crew shows up at 8 AM and customers who weren't reminded are still in pajamas. Operator mode on for Lead Step 1 (first impression). Auto mode for everything else.

iOS / Android
Mobile-first design. Approve queue items from the truck. Edit drafts on the fly.
Aerys modules · Hub pairing makes triggers fire automatically
Follow-Up Automation gets richer with every Aerys module you add. Hub pairing is what makes triggers fire on their own. The rest add depth to what the engine can do with each scheduled touch.
Lead & Customer HubRecommendedNew leads enter the Lead SOP on their own. Job state changes (booked, completed) trigger the Booked and Estimate SOPs. Without the Hub, you queue sequences by hand for each record.
Email Command CenterSequence emails go out from the right account with the right signature. Customer replies thread back into the inbox. Reply detection pauses the sequence so you don't keep emailing someone who already responded.
Estimating EngineSending a quote triggers the Estimate SOP. Email drafts pull pricing details from the estimate.
Repeat Customer EngineThe 4th SOP (post-job retention sequence) runs through Follow-Up Automation. Adding both modules unlocks all 4 SOPs.
Review ManagerReview request emails are a retention SOP touch. With Repeat Customer Engine, the review request fires as a sequence step.
Operator AIAnswers questions about sequence performance ("which lead-SOP step gets the most replies?") pulled live from the Sequence Activity dashboard.
